How It Works
Your AI practice runs. You stay in charge.
CapeFear.ai is a fully managed AI service, meaning we find the workflows that waste your time, build the agents, and keep them running, so you never have to write a prompt, watch a tutorial, or maintain anything yourself. Every agent lives inside the tools you already use, inside a tenant your firm owns, and nothing client-facing goes out without your approval.
The lifecycle
Five steps, start to finish
Every engagement follows the same five-step path. You stay in control at every stage; we carry the technical weight the whole way.
1. Find what to automate
We map your real day-to-day workflows (intake, follow-up, document assembly, scheduling, billing reminders) and flag the ones where repetitive manual work is costing you the most time. You tell us which matter most. We do not guess.
2. Build it inside your stack
Agents are configured inside your existing tools, whether that is your case-management system, your email, your cloud storage, or your CRM. We connect the pieces, write the logic, and run it against test data before anything touches a real client record.
3. You approve what matters
Anything sensitive, client-facing, or consequential is drafted and queued for your review first. One click approves it; one click edits or rejects it. The agent never sends, files, or acts until you say so. This is built in by design, not bolted on later.
4. We run and monitor it
Once an agent is live, we watch it. If a connection breaks, a document arrives in an unexpected format, or an edge case slips through, we catch it and fix it. You do not get an alert asking you to troubleshoot. You get a working system.
5. Your data is yours, and nothing is a black box
Your data lives in a tenant dedicated to your firm and is yours to export at any time. Everything we run for you is documented in plain English, so you always know what happens where. If you ever leave, your data comes with you and we help with the handover.
Built on 14 years of security practice
CapeFear.ai was founded by a career cybersecurity professional. SOC-2-aligned controls, a signed Business Associate Agreement for regulated data, and encrypted storage for every credential are baseline, not add-ons you pay extra for.
Managed service vs. DIY tool
Why this is different from buying an AI tool yourself
Most AI products on the market are self-serve platforms. You sign up, watch onboarding videos, figure out which prompts work, build automations, test them, maintain them when they break, and upgrade them when something changes. For a busy professional running a small firm, that is a second job. Here is the honest difference.
CapeFear.ai managed service
We design it. No prompts to write, no workflows to configure yourself.
We build it inside your tools. Your email, your CRM, your file storage. Not a new platform to learn.
We monitor and maintain it. When something breaks or your workflow changes, we fix it. You do not get a support ticket queue.
Human approval is the default. Anything client-facing is queued for your review first.
Your own isolated tenant. Your data stays in a dedicated environment. Portable anytime.
A typical DIY AI tool
You configure it. Tutorials, prompt engineering, trial and error on your own time.
Another platform to manage. A new login, a new interface, another subscription to track.
You maintain it. When an integration breaks or the vendor changes something, you troubleshoot.
Automation runs automatically. Guardrails exist, but the defaults are not built around professional liability.
Data lives in a shared SaaS environment. Vendor terms and data-retention policies apply.
What you can expect
Common starting points for small firms
Every firm is different, but a few workflow patterns come up repeatedly. These are typical starting agents, not a fixed menu. We scope based on your actual operations.
New-client intake
A prospective client fills out a form or sends an email. The agent extracts the details, runs a preliminary conflict check against your matter list, and drafts a follow-up message for your review. You approve and send. No data entry, no missed inquiries.
Document requests and reminders
The agent tracks which documents you are waiting on, sends a reminder on your schedule, and flags when something arrives. For law firms, it can match incoming files against an open request list and tell you what is still missing. You stay current without manually chasing anything.
Deadline and follow-up queues
Recurring tasks (30-day follow-ups, billing reminders, renewal notices) get surfaced automatically in a queue you review each morning. One click acts; one click snoozes. Nothing falls through because someone forgot to set a calendar reminder.
Getting started
No long commitment to see if it fits
We start with a short discovery conversation where you walk us through a typical week. We identify two or three workflows worth automating first, scope the build, and give you a plain-English explanation of what we will build and why. If it makes sense, we proceed. If it does not fit right now, we tell you that too.
CapeFear.ai is based on the North Carolina coast and works with small firms across the country. Engagements are remote. Your data never has to leave a U.S.-based, encrypted environment.
Common questions
Questions firms ask before they start.
Do I need any technical knowledge to use CapeFear.ai?
No. CapeFear.ai is a done-for-you service. You describe your workflows in plain language during a short discovery call, and we handle all of the design, configuration, and setup. You never write a prompt, build an automation, or touch a settings panel.
What if I already use a case management system or CRM like Clio?
We build agents inside the tools you already use. If your firm runs on Clio, your email, or cloud file storage, the agents connect to those systems directly. You do not switch platforms or learn a new interface. Your existing workflow stays the hub.
Will the AI send emails or take actions without me reviewing them first?
Not for anything client-facing or consequential. Human-in-the-loop review is built into every agent that touches a client. Drafts and actions queue for your one-click approval before anything goes out. You can configure how much autonomy each agent has, but the default is always review-first.
What happens to my data if I stop working with CapeFear.ai?
Your data stays yours. The agents and workflows we run for you sit in a tenant dedicated to your firm, and your data is portable anytime. If you leave, your data comes with you and we will help with the transition.
How is this different from hiring a freelancer to build an automation?
A freelancer builds it once and moves on. CapeFear.ai designs, builds, and then continues to run and monitor the agents for you. When something breaks, a connection changes, or your workflow evolves, we fix it. You have an ongoing operational partner, not a one-time project delivery.
Is this secure enough for confidential client information?
Yes. CapeFear.ai was founded by a 14-year cybersecurity professional. The platform is SOC-2-aligned, uses encrypted storage for all credentials and data at rest, and offers a signed Business Associate Agreement for firms handling regulated health or legal information. Security is the foundation, not a feature tier.
