AI agents for HOA and condo insurance

Last year's renewal packet, read before you open it.

Association renewals arrive as a stack of paper: applications, statements of values, declarations pages, and whatever the management company sent this year. CapeFear.ai builds and runs an agent that reads the packet, organizes what it can read by association and building, and marks every field it couldn't read so a person looks there first. We run it for you. Nothing goes to a carrier, a board, or a client without your team's say-so.

The offer

One AI agent, live in about two weeks, measured against your own number.

$1,500 per month, per agent.

On day one we write down the number you care about, like how long one renewal file takes your team today. On day 30 we sit down with you and look at that number again.

Day 30: your number, before and after. You decide whether we keep going.

Any one-time setup is agreed in writing before you start.

What the renewal agent does

The first read of the stack, done before anyone sits down with it.

Available now Reads the packet

Organized by association and building

Statements of values, declarations pages, and applications, read and organized by association and by building, in one place instead of a folder of attachments.

Available now Marks what it couldn't read

Your team starts where it matters

A blurry scan, a handwritten value, a page that doesn't match the rest. Every field it couldn't read with confidence is marked, so your team starts there instead of re-reading everything.

Available now A person confirms

Your team decides

Nothing is final until someone on your team confirms it. The agent reads and organizes. Your team decides.

Coming Missing-document follow-up

Before the date, not after

A reminder to the association or its manager for the documents a renewal still needs, well before the date. It isn't open yet. Ask us about it on the call.

Your first job is free

Send us last year's renewal packet.

After a short call, we send you a secure upload link. The agent reads last year's packet for one association, and we send back what it pulled out, with every field it couldn't read marked. You see what it does on your own paperwork before you pay anything.

  • Please don't attach documents to the contact form or to an email. Use the upload link we send.
  • It's read in a workspace kept separate for you, and only for this job.
  • If you decide not to go ahead, we delete the packet and everything read from it.

How it works in 14 days

From the first call to a working agent, then a check on your number.

Day 0

The call and your number, like the hours one renewal file takes.

Days 1–5

Your forms, your carriers' paperwork, and what your team checks first.

Days 6–13

The agent reads packets you've already finished, so you can compare its read with yours before it touches a live renewal.

Day 14

New packets are read as they arrive.

Day 30

Your number, before and after. We sit down with you and compare it with day 0.

About two weeks is our plan. A carrier form we haven't seen before can take longer, and we'll say so before you start.

What we won't claim

We're a young company, so here is what you won't find on this page.

  • No accuracy percentage. We haven't measured one against an outside standard, so we won't print one. You'll see what it reads on your own packet instead.
  • No logo wall and no testimonials. No customer has agreed to be named yet, so none is.
  • No quoting, binding, or coverage advice. Those stay with your licensed team.

Questions agencies ask first

Does it quote, bind, or advise?

No. It reads and organizes documents. Quoting, binding, and every conversation with a carrier, a board, or a client stay with your team.

What happens to the packet I send?

It is read in a workspace kept separate for you, and only for this job. If you decide not to go ahead, we delete the packet and everything read from it.

Does it take the place of my account managers?

No. It does the first read of the stack. Your account managers check what it found, fill what it marked, and make every decision.

Thirty minutes. Bring last year's renewal packet.

We'll tell you whether this is the right move for your agency, and if it isn't, we'll say so.
